Accepting payment

SUMMARY

You can accept credit and debit cards, cash, checks, prepaid gift cards, and payment by account using MINDBODY Express®. A merchant account is required to complete credit card transactions. You cannot use multiple payment methods per transaction unless the client's prepaid gift card will not cover the total purchase amount.

CONTENT

Card on file

  • To charge a payment card saved to a client's profile, tap Card on File in the payment method menu underneath the Sales Ticket.
  • If the client would like to leave a tip, or sign for the purchase, pass the device to them. They’ll pick a tip amount, sign for the purchase, and then press I Agree. Tips are available only when you check out an appointment.
  • If the client will not be leaving a tip, and does not want to sign for the purchase, tap Skip signature in the bottom left corner of the screen, and then confirm your choice. Even if a tip amount was selected on the signature screen, it will not be added to the purchase total.
  • Choose whether or not you want to send the client a receipt, and enter the client's email address if necessary. Then, tap Process Sale.

Swiping Cards

When using your mobile credit card swiper, make sure it is completely plugged in to the audio jack on your device, and the volume is turned all the way up. If your device will not recognize the swiper, please restart your phone and try again.

When checking out a client:

  1. Tap Swipe Credit Card. This option will only appear when the swiper is plugged into your device.
  2. Initially, you’ll see a message that says “Connecting to Swiper...”.
  3. Wait until the screen says “Swipe Away!”, then run the client's credit card.
  4. Allow your customer to sign for the sale, then press I Agree.
  5. Toggle the Send receipt switch on or off, then tap Process Sale to complete the transaction.

To switch payment methods, or cancel the transaction, tap the cancel icon in the top left-hand corner of the screen.Electronic signatures captured when processing a sale by credit card are stored in the client's profile, but can only be viewed when using the full MINDBODY software. Keying In Cards

  • To key in a payment card, tap Key in Credit Card in the payment method menu underneath the Sales Ticket.
  • Then type in the card number, expiration date, CVV code, and zip code when the keypad shows up. Once you've entered the payment information, tap the blue checkout button at the top right.
  • Pass the handset to your customer so that he or she can use a fingertip to sign for the purchase. If you are checking out an appointment, and you have tips enabled, you can add a tip here. The customer will then press I Agree to complete the sale.
  • Choose whether or not you want to send the client a receipt, and enter the client's email address if necessary. Then, tap Process Sale
  • Or, if you wish to cancel the payment, just tap the orange cancel button at the top right and tap Cancel Payment to confirm.

Cash

  • To collect payment in cash, tap Cash in the payment method menu underneath the Sales Ticket.
  • Type the amount tendered into the keypad, then tap the blue checkout button at the top right.
  • Tap Yes or No to send a receipt to the customer; the email address saved in his or her profile will display by default. To continue and complete the sale, tap Process Sale.
  • Tender the change due to your customer, and tap Done to finish.
  • To cancel the transaction, just tap the orange button at the top left and tap Cancel Payment to confirm.

Check

  • To collect payment by check, tap Check in the payment method menu underneath the Sales Ticket.
  • Then type the check number into the keypad and tap the blue checkout button at the top right.
  • Tap Yes or No to send a receipt to the customer; the email address saved in his or her profile will display by default.
  • To continue and complete the sale, tap Process Sale. Tap Done to finish.
  • To cancel the transaction, just tap the orange button at the top left and tap Cancel Payment to confirm.

Prepaid Gift Cards

  • To collect payment by prepaid gift card, tap Gift Card in the payment method menu underneath the Sales Ticket.
  • Then swipe the gift card or type in the gift card number, using the keypad. Next, tap the blue checkout button at the top right.
  • Pass the handset to your customer so that he or she can use a fingertip to sign for the purchase. The customer will then press I Agree to complete the sale. This screen will also tell your customer how much is left on the gift card.
  • Tap Yes or No to send a receipt to the customer; the email address saved in his or her profile will display by default. To continue and complete the sale, tap Process Sale
  • Tap Done to finish. 
  • Note: If there are insufficient funds on the gift card, the app will let you know that you need to add an additional form of payment. Click Add Payment to continue.
  • Choose the additional payment method your customer wants to use, and complete the sale.
  • To cancel the transaction, just tap the orange button at the top left and tap Cancel Payment to confirm.

Account

  • To collect payment by account, tap Account in the payment method menu underneath the Sales Ticket.
  • Choose an email receipt option, and enter the client's email if necessary. Then, tap Process Sale.
  • Tap Done to finish. Or, if you wish to cancel the payment, just tap the orange cancel button at the top left, and tap Cancel Payment to confirm.
